It’s holiday season! That wonderful time of year promising sunshine, relaxation, and absolutely no work emails… right? If you’re anything like most busy professionals, the weeks leading up to a well-deserved break often feel like a frantic sprint. You’re trying to tie up every loose end, answer every email, and avoid that nagging feeling that you’ve forgotten something crucial. Then there’s the return: the daunting thought of a chaotic inbox and an utterly blank mind.

It’s a common struggle, and my friend Carie Barker, the fantastic illustrator behind ourcuriouspanda.com (do check out her brilliant children’s activities!). Suggested it may be helpful to provide some tips. To write about that pre holiday panic and the post holiday ‘where was I up to? It got me thinking: how can smart administrative strategies eliminate the pre holiday panic and post holiday slump.

Because a true break means genuinely switching off, and a productive return means hitting the ground running. Not waiting for your motivation to magically return, for days. Ready to transform your holiday prep from panic to peace, and your return from dread to delight? Let’s dive into some practical tips!

Part 1: The “Switch Off” Strategy (Before You Go)

The goal here isn’t just to finish tasks, but to create a runway for your brain to genuinely disconnect. No one wants to spend their beach time wondering if they remembered to send that one invoice!

  1. The “Holiday Handover” Document: Your Brain Dump for the Break Think of this as leaving a breadcrumb trail for your (relaxed) post holiday self. Or a foolproof guide for anyone covering for you. It’s not a novel; it’s a concise, easy-to-read document or checklist.
    • What to include: Key contacts (internal/external), urgent tasks with clear deadlines, ongoing projects (status and next steps), secure instructions for access (passwords for specific tools, securely managed), who’s covering what, and where to find critical files.
    • Tip: Make it digital and easily shareable (securely, of course!).
  2. The “Inbox Zero-ish” Approach: Managing the Tides Battling your inbox before holiday is like trying to empty the ocean with a eggcup, but we can still manage the tides!
    • Clear What You Can: Deal with quick replies, file completed messages.
    • Delegate & Delete: Forward urgent emails to your cover person. ruthlessly delete junk.
    • Set Your Out-of-Office: Craft a clear, friendly auto-reply stating your return date and who to contact for urgent matters. Set expectations!
    • Resist the Urge to Peek: Once it’s set, it’s set.
  3. Calendar Sanity Check: Clearing Your Return Path Your calendar on return should look less like a battlefield and more like a gentle landing strip.
    • Block Your Return Day: Treat your first day back as a ‘soft landing day’ avoid scheduling any meetings.
    • Clear Early Week: Try to push non essential meetings to later in your first week back.
    • Communicate Your Absence: Ensure your calendar clearly shows your “Out of Office” dates.
  4. Digital File Nesting: No Scavenger Hunts! No one wants to play digital hide and seek on their first day back!
    • Organise Active Projects: Ensure all files related to ongoing projects are neatly organised, updated, and accessible in their proper folders (cloud storage is your friend here!).
    • Link Key Documents: If you have shared project boards (like Trello or Notion), ensure direct links to critical documents are updated.
  5. Make Sure Key People Know: Let people know in advance, that you are on holiday.
    • Make it known: Nobody wants to disturb you when you are on a break. But if they don’t know, you can’t get angry. Make sure you have communicated your break in advance and when you will be back.

Part 2: The “Hit the Ground Running” plan (When You Get Back)

The return doesn’t have to be a shock to the system. With a little prep, you can ease back in and quickly regain your productivity!

  1. The “Soft Landing” Day: Your Re-entry Strategy Your first day back isn’t for heroics; it’s for hydration, reviewing, and strategic catching up.
    • No Meetings (Seriously): Protect this day fiercely.
    • Review Your Handover Notes: Your pre holiday “brain dump” is your roadmap. Read through it, update your to-do list, and identify priorities.
    • Batch Your Communications: Don’t dive headfirst into the email abyss.
  2. Inbox Triage & “Reply Later” Mastery: The inbox has multiplied, but you’re prepared!
    • Scan & Prioritise: Quickly skim for genuinely urgent emails and client messages.
    • Use Quick Filters: Use filters or search to quickly find emails from key people or about specific projects.
    • “Reply Later” Rule: For non-urgent emails, resist replying immediately. Schedule blocks to tackle them.
  3. Re-engage Your Focus Routines: Warm Up Your Brain Your brain needs a warm-up act before the main show!
    • Ease Back In: Re-establish your morning routine, your “ping-free” work blocks, and your communication check times.
    • Review Goals: Remind yourself of your key projects and goals before diving into new tasks.
